Terms and Conditions for your Upcoming trip

Welcome to Out & Abroad
We are delighted to have you join us on an exciting journey. These policies outline the terms of your trip and serve as our mutual agreement. Please review carefully before signing and submitting your payment.

Physical Activity & Fitness Requirements
Our tours involve walking and other physical activities. Participants should be prepared for:
Varied Activity Levels: Some trips may require moderate walking, while some involve extensive walking, uneven terrain, and higher altitudes. Specific fitness requirements will be detailed in each trip’s itinerary.
Personal Independence: Managing your belongings and navigating transportation without assistance.
Daily Walking: 2-3 miles on average (up to 5-7 miles on some tours).
Note: These trips are not designed for individuals with significant mobility challenges. Each itinerary specifies activity requirements to help travelers determine suitability.
Trip Payments
Deposit: A non-refundable deposit is required to secure your reservation.
Monthly Payments: Regular monthly payments are necessary to maintain your booking. If not paid in full.
Missed Payments: Reservations may be canceled, and payments forfeited if payments are overdue by more than 7 days.
Final Payment: Must be received by the specified deadline. A late payment fee of $250 may apply.
Inclusions & Exclusions
Included: Accommodations, selected meals, guided tours, entry fees to excursions, and in-trip transportation (in-country flights, transfers, transportation during hosted activities).
Not Included: Airfare to destination, visa fees, personal expenses, souvenirs, beverages and meals not listed in the itinerary.
Required Traveler Information
To ensure smooth travel and to comply with travel regulations:
Provide passport details valid for at least 6 months beyond the trip’s end.
Submit dietary restrictions, emergency contacts, and travel arrangements by the final payment deadline.
Ensure compliance with required vaccinations or health documentation, where applicable, as outlined in the trip itinerary.
Arrival & Delays
Travelers are responsible for:
Timely Arrival: Joining the group at the designated meeting point. Late arrivals must cover their expenses to meet the group.
Communication of Delays: If your arrival is delayed, you must notify Out & Abroad promptly via email or the group’s designated communication channel. Failure to communicate delays may result in additional costs to rejoin the group, which will be the traveler’s responsibility.
Cancellation Policy
By You: Submit cancellations in writing at least 30 days before the refund deadline for a refund (minus deposit and fees). No refunds within 180 days of departure.
Force Majeure: In the event of natural disasters, war, or other uncontrollable circumstances, Out & Abroad reserves the right to cancel or modify the tour. Refunds will be provided based on recoverable costs, but are not guaranteed for all expenses.
By Us: If canceled due to unforeseen circumstances, all payments will be refunded. We are not liable for airline penalties.
Travel Insurance
We strongly recommend purchasing:
Trip Cancellation Insurance: Protects your investment against unexpected changes.
Emergency Medical Insurance: Covers medical emergencies and evacuations during your trip. During certain itineraries, this may be required, and listed accordingly
Itinerary Changes
While we aim to follow the planned itinerary, changes may occur due to unforeseen circumstances.
Comparable alternatives to lodging, meals, activities, and other services will be provided when possible.
Sustainability Practices
Out & Abroad is committed to responsible and sustainable travel. We encourage travelers to:
Respect local cultures, traditions, communities, and environments.
Reduce waste by minimizing single-use plastics and avoiding food waste.
Strive to support locally owned tours and businesses whenever possible, contributing to the local economy.
Group Harmony & Behavior
To ensure an enjoyable experience for all:
Disruptive behavior may result in removal from the tour without a refund.
Travelers who choose to voluntarily depart the tour before its conclusion will not receive a refund for unused portions of the trip.
Refunds for Third-Party Costs
Refunds for services booked through third parties (e.g., airlines) are governed by their policies. Out & Abroad cannot guarantee refunds for these services, but will provide documentation to assist travelers in pursuing claims directly with the provider.
Use of Photos & Videos
Photos and videos taken during the trip may be used for promotional purposes. Travelers wishing to opt out must notify us in writing before the final payment day of the trip.
Assumption of Risk & Liability Waiver
Travel involves inherent risks. By participating, you acknowledge and accept these risks. Out & Abroad is not liable for circumstances beyond our control, including injuries, illnesses, or property loss.
Indemnification & Jurisdiction: Travelers agree to indemnify Out & Abroad against any claims arising from their participation and acknowledge that any disputes will be governed by the laws of Missouri, USA.
Insurance Highly Recommended: We strongly recommend that all travelers purchase comprehensive travel insurance, including coverage for trip cancellation, emergency medical care, and medical evacuation. We are happy to assist with insurance recommendations upon request.
